Blocking SPAM!

You may have noticed that some email you receive now contains *****SPAM***** in the subject line.  This is added by software that is installed on our mail server.  The software uses many heuristic tests on the text of email messages to identify unsolicited commercial email, also known as spam.

Using this tag, email clients can be set to move spam email to a spam folder, where it can later be disposed.  This can save alot of time, but be sure to check the messages before deleting them!  This software works well, but no anti-spam software is 100%.

The following sections will explain how to setup your email clients to move the spam mail to a folder that you will create.

1) Outlook Express Setup

At the top of the Outlook Express window, click on Tools, Message Rules, then Mail.

In section 1 of the New Mail Rule window, check "Where the Subject line contains specific words".

In section 2, check "Move it to the specified folder".

In section 3, click on the blue words "contains specific words".  This will open the Type Specific Words window.

In the top space of the Type Specific Words window, type *****SPAM***** (5 asterisks, SPAM in all capital letters, then 5 more asterisks).  Click on the Add button on the right side of the window.  This will make the bottom window look like the following image.

Click the OK button to close this window.  Now move the mouse to the 3rd line of the New Mail Rule window.  Click on the blue word specified.  This will open the Move window.  In this window, click on the plus (+) sign next to Local Folders.  This will drop down a list of all the folders you have setup in Outlook Express.  We now need to specify the folder we want to move our spam to.  Click on the New Folder button to the right.  In this box, type the word SPAM and click OK.  Now your Move windows should look like the following (with the exception of any other folders you have created in the past.

Click the OK button to close the Move window.  In section 4 of the New Mail Rule window, you now need to name your new rule.  This can be any name, Spam Rule is used in this example. Your rule window should look like the following image.

Click OK at the bottom of the New Mail Rule windows.  You now have spam filtering configured for your Outlook Express client!  The spam folder will need to be cleaned out occasionally, and some legitimate email messages may be mislabeled as spam, so check it at least weekly!


2) Netscape/Mozilla Email Setup

*NOTE* These instructions are based on Mozilla 1.0.1. They may need to be adjusted for older or newer versions.  The general setup should be very similar, whether the mail client is Mozilla or Netscape.  At the top of the email window (Mozilla or Netscape), click on Tools, then Message Filters.

This will bring the Message Filter window up.  Click on the New button on the right side of the window.  This will open the Filter Rules window.

The name of the filter doesn't matter.  In this example, we are using the name "Spam Filter".  Ensure the radio button next to "Match any of the following" is selected.  The next line is the actual filter.  Keep the first two entries as the default (Subject and contains).  The last box is what we are filtering for.  In this box, type *****SPAM***** (5 asterisks, the word SPAM in all capital letters, then 5 more asterisks, all with no spaces.)  The Filter Rules box should now look like the following image.

The next change is at the bottom of the Filter Rules window, in the Perform this action section.  The first two items should keep their default values, Move to folder and your email address.  Click on the New Folder button to open the New Folder window.  The name of the folder can be anything, in this example we are using Spam for our spam folder.  Type Spam in the Name field, then click on the "Click here to select" button to select the folder we want our spam folder to appear under.  Click this button, then move the mouse to your email address, finally, click on the "choose this for the parent" button.

Next, click OK in the New Folder window.  The Perform this action section should now say "Move to folder" "Spam on (your email address)".  The entire Filter Rules window should look similar to the following image.

Now, click OK at the bottom of the Filter Rules window.  This will bring you back to the Message Filters window.  Your Filter window should now look like the following image.

Click OK at the bottom of this window.  Your email spam filter is now configured!  The spam folder will need to be cleaned out occasionally, and some legitimate email messages may be mislabeled as spam, so check it at least weekly!


3) Outlook (Microsoft Office) Setup

*NOTE* These instructions are based on Microsoft Outlook 2000 SP3 and may need to be changed for use with newer or older versions of Outlook.  On the main Outlook window, click on Tools on the top bar, then click on Rules Wizard... near the middle (If you see a short submenu, try clicking on the arrows at the bottom of the list.)

Click the New button on the Rules Wizard window.  This will open the Rules Wizard window (if the office assaistant opens, click on No, don't provide help now.)  Make sure "Check messages when they arrive" is selected and click the Next button.

In the top box, scroll down and check the box next to "with specific words in the subject".  In the bottom box, click on "specific words".  This will open the Search Text window.  In the Add New text box, type *****SPAM***** (5 asterisks, the word SPAM in all capital letters, then 5 more asterisks, all with no spaces.)  Now click on the Add button to the right of this text box.  This will move the text *****SPAM***** to the bottom window.  Your window should now look like the following image.

Click OK at the bottom of the Search Text window.  Now click Next in the Rules Wizard window.  In the top box, check the first box, next to "Move it to a specified folder".  Now click on specified in the bottom box.  This will open a window that will have a listing of all your email folders.

Click on the New button.  This will open the Create New Folder window.  Type Spam in the first text box, this will be the name of our spam folder.  The "Folder contains" item should keep it's default value of "Mail Items".  The bottom box is where the Spam folder will be located.  You may use any folder, Personal Folders is recommended, and used in this example.  Your window should now look like the following image.

Click OK to close this window.  If the outlook assistant asks whether or not you would like a shortcut placed on the Outlook Bar, you may click yes or no.  If you use the bar on the left of the Outlook screen, then you may wish to click yes, otherwise, no is fine.  You now should see the list of folders again, with Spam added and highlighted.  Click OK to close this window and return to the Rules Wizard window.

Your Rules Wizard windows should now look like the following image.

Click Finish on the Rules Wizard window to finish this rule.  You may add more rules to this filter if you wish by clicking next, but it is not necessary for this example.  Now the Rules Wizard windows should look like the following image.

Click OK on the bottom of the Rules Wizard window.  You have now configured your email client to move spam to your Spam folder!  The spam folder will need to be cleaned out occasionally, and some legitimate email messages may be mislabeled as spam, so check it at least weekly!
